Action steps and timeline

Here is a suggested series of 10 basic steps needed to put on a web fair. The example timeline allows for 6 months. This is intended as a general guide--these steps, and the accompanying timeline, are suggestions. Feel free to revise the steps and the timeline to suit your needs. These steps will be described in greater detail later in the toolkit.

Organization

Start thinking about your event. Organize a steering committee to help you with the planning and outreach.

6 months (24 weeks) before

Initial planning

What kind of event will you have? Set the time and date. Look for sponsors.

4-5 months (16-20 weeks) before

Initial outreach

With your steering committee, begin planning for the informational meetings to introduce the concept.

3-4 months (12-16 weeks) before

Invitation

Send the invitation with the preliminary schedule and a registration form.

2 months (8 weeks) before

First follow-up

Begin and complete follow-up calls.

Develop packet materials.

The Media

Develop a media relations plan—how will you get the media to cover your event?

Event logistics

Purchase last-minute supplies.

Reproduce and assemble packet materials.

Produce name tags.

Produce other materials.

3-4 weeks before

Hold the web fair!

Thank you

Send thank-you notes to volunteers and sponsors.

Evaluation and second follow-up

Evaluate the web fair and follow-up with the people who attended.
