How to get Telephone Service
The process for acquiring a telephone system begins with a request from the Department (Service Request), which gives a description of the customer's request.
The Service Request Form must contain the following information:
Customer contact name and telephone number
Requirements for voice services
Authorization for voice services by the appointing authority or designee
Before the Telecommunications Section can provide a definite plan of procedure, the following steps are taken:
A pre-proposal conference is held to determine the customer's needs and to determine information that will be helpful to the Telecommunications Specialists and vendors .
An oral presentation to the requestor on what will be proposed.
Determine the closing date for receipt of proposal.
A walk-through of the requesting site is scheduled jointly for all vendors.
Following all of the steps, the organization of the proposal is initiated. Vendors are advised to supply all information in the sequence format specified in the Request for Proposal (RFP). To assure clarity, each vendor must respond to all sections and all addenda of the RFP in like sequence.
After awarding the contract, the Telecommunications Specialist continues with all of the other requirements and preparations for the successful implementation of the telephone system.
The Telecommunications Section exhibits a strong internal discipline in meeting customer commitments. Services provided can be complex to install and maintain but we demonstrate an unwavering commitment to continuous improvement.
